We have a fantastic opportunity for an Executive Assistant to work for the co-founders of a busy Fintech company in London.
The successful candidate will have previous experience within executive support and be happy to travel overseas on the needs of the executive team. This is a full time position.
Key Responsibilities:
- Providing administrative and secretarial support to the executive team. The role involves managing schedules, handling communication, organising meetings, and ensuring the smooth day-to-day operations of the Co-founders.
- Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Liaise with third parties such as Accountants and Banking account managers and provide documentation as required.
- Handle incoming emails, and other communications on behalf of the executive team.
- Coordinate and organise meetings, including room bookings, agenda preparation, and minute-taking.
- Provide support on special projects and initiatives, including research, data analysis, and report preparation.
- Assist in the coordination and execution of company events, meetings, and conferences.
- Ensure timely follow-up on action items and deadlines related to various projects.
- Arrange travel itineraries, accommodations, and transportation for executives and other members of staff.
- Prepare travel expense reports and manage travel-related documentation.
- Handle sensitive and confidential information with utmost discretion and integrity.
- Serve as a trusted point of contact for internal and external stakeholders.
- Support HR functions such as maintaining employee records and assisting with recruitment processes.
Experience and Skills Requirements:
- Ability to manage multiple tasks and prioritise effectively
- Excellent verbal and written communication skills
- Strong attention to detail
- Ability to handle confidential information with discretion
- Strong interpersonal skills
- Degree-level educated
- Minimum 2-3 years of experience within executive support
- Happy to travel overseas regularly (at least 7 overseas trips per year, sometimes lasting up to 1 week)
