Our client is looking for a dedicated and organised Co-ordinator to join their Support Services team. This is an excellent opportunity to play a key role in the efficient running of various operational functions.

Key Responsibilities:

  • Manage and co-ordinate scheduling, recruitment, vetting, logistics, and support for these functions as required.
  • Act as a support role across various functions to step in and assist where necessary.
  • Organise and coordinate monthly or ad hoc team meetings to ensure effective communication and status updates.
  • Manage the diaries of managers in Teams to ensure full visibility of schedules and whereabouts.
  • Ensure staff are ready and rostered to support upcoming shows.
  • Ensure all staff have the relevant site information, briefings, ID badges, and show-specific ID passes.
  • Maintain logistics information for each show on Smartsheet, ensuring all necessary details are in the Teams Event Folder.
  • Report to the Operations Director and/or Sales team to ensure all support functions are on target.
  • Liaise with Nuno to ensure NVQ2, Apprenticeships, and other training programmes are on track.
  • Work with Selven and Nuno to address any e-learning or training completion issues.
  • Manage training bookings and liaise with Directors regarding ongoing training needs (e.g., SIA Courses).
  • Maintain HSS training spreadsheets, ensuring they are up to date and aligned with company targets.
  • Oversee appraisals for both individual team members and show-specific appraisals, ensuring they are uploaded to the relevant systems (Teams, Smartsheet).
  • Book accommodation for away shows and ensure details are captured on the logistics Smartsheet.
  • Book vehicles and drivers, ensuring all information is documented on the logistics Smartsheet.
  • Arrange travel plans and ensure all information is updated on the logistics Smartsheet.
  • Maintain the bed plan spreadsheet, ensuring it is available and updated on the logistics Smartsheet.
  • Manage the order book in Teams, ensuring all booked shows are clearly referenced with the relevant dates and information.
  • Design and distribute a monthly bulletin to the team, keeping everyone informed of key updates and developments.

Experience and Skills Requirements

  • Proven experience in an administrative or coordination role.
  • Strong organisational and time management skills, with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Ability to use Microsoft Teams, Smartsheet, and other relevant software effectively.
  • Strong attention to detail and proactive approach to problem-solving.
  • Ability to work independently as well as part of a team.
  • Experience in event coordination or a similar field.
  • Knowledge of NVQ and apprenticeship systems.
  • Experience in managing logistics for large-scale events or projects.
